The Office Manager at Evoke plays a pivotal role in creating a safe, efficient, and inspiring workplace that enables our teams to do their best work. This role owns the day-to-day running of the Malta office while also contributing to our broader global workplace strategy. You will lead facilities, suppliers, and office services to ensure seamless operations and a high-quality employee experience. Acting as a central point of contact, you will balance operational excellence with people-focused service.
- Maintain a clean, safe, and organized workspace for all employees.
- Manage office logistics, including parking, package handling, access cards, and workspace readiness.
- Serve as the primary point of contact for all office maintenance, repairs, and physical security matters.
- Oversee building projects and renovations, ensuring facilities meet all government regulations, health and security standards, and energy efficiency requirements.
- Ensure that essential facilities, such as water and electricity, are well-maintained.
- Supervise front desk operations, including greeting visitors and handling incoming calls, mail, and deliveries.
- Liaise with and manage relationships with all vendors and suppliers, including building management, cleaning services, catering companies, and security.
- Manage contracts and budgets for services to ensure quality and cost-effectiveness.
- Ensure the office is well-stocked with supplies, equipment, and resources.
- Lead and manage any office coordinators/cleaners/office helpers.
- Set team goals, provide support, and conduct regular performance reviews.
- Act as the main point of contact for all health and safety matters.
- Organize and manage first aid, fire warden, and other mandatory training courses for staff to ensure compliance with OHS (Occupational Health and Safety) laws.
- Manage the office budget, track expenses, and process invoices.
- Oversee and manage the petty cash fund.
- Support employee onboarding and offboarding processes.
- Plan and coordinate internal company events, such as team-building activities, holiday parties, and company-wide meetings.
- Help cultivate a positive and engaging office culture that aligns with our company values.
- Support our global workplace strategy by optimizing office layouts and space usage.
- Collaborate with other hubs to drive continuous improvements and ensure consistency with global workplace standards.
- Manage requests for new mobile plans and coordinate with IT Operations for new devices.
- Assist management with various administrative requests as needed.
- 1-3 years proven experience in office, facilities, or workplace management in a fast-paced, professional environment.
- This role is office based and therefore requires office attendance 5 days per week.
- Strong knowledge of health & safety, compliance, and building or facilities operations.
- Demonstrated ability to manage suppliers, contracts, and budgets with a commercial mindset.
- Highly organised with the ability to manage multiple priorities and solve problems proactively.
- Excellent communication and stakeholder management skills across all levels of the business.
- Comfortable working with systems, invoices, and administrative processes in a structured way.
