The role is based in Malta and reports to the Legal Lead Malta (Senior Legal Counsel). As one of our administrative assistants in the disputes team, you will work with a range of stakeholders, building your network and profile internally and externally. The right candidate will be a diligent yet enthusiastic individual with a strong attention to detail who is willing to work in a dynamic environment and to make an active contribution to the successful growth of the legal department. This role will be heavily admin-related, however, there will be opportunities to experience how the legal department functions.
- Handling of Mail (mass litigation scale).
- Corresponding directly with external lawyers.
- Assisting the legal department in the administration of legal documents, ensuring they are sent to relevant stakeholders in a timely manner.
- Uploading legal documents to our in-house digital database.
- Assisting with the archiving of legal documents including physical filing.
- Assisting with the management of the civil litigation case-load, including follow-up with external lawyers as may be necessary, and maintaining an accurate database of cases.
- Updating litigation spreadsheets and sending them out to internal or external stakeholders..
- Attending regular legal meetings.
- Working with CS teams and RG teams to prepare litigation reports and conducting a fact-finding exercise on cases for evidence purposes.
- Reviewing litigation reports and liaising with external lawyers re. same.
- Drafting and reviewing case summaries and memos.
- Assisting with legal research.
- Assisting with the translation of documents.
- Liaising with our external lawyers and in-house lawyers.
- General legal and administrative tasks associated with an international legal department.
- Assisting with the raising of purchase requisitions and frame purchase orders to ensure that the finance team pay invoices issued by our external suppliers, and liaising with our finance team as may be necessary.
- Coordination of signatures from relevant stakeholders.
- Assisting with Pre-judicial claims & DSAR requests as may be necessary.
- Strong attention to detail
- Previous experience in a similar role
- Proven ability to work to tight deadlines
- Good organisational skills
- Ability to work within a team
- Experience with Troubleshooting
- Interest in gaining experience in an international legal department.
Fluency in additional languages such as Dutch, German or Spanish would be considered a strong asset
